What your client sees — joining a FlexViz presentation

Somebody has shared a lighting design with you in FlexViz. You need no account and nothing to install — the presentation opens in your browser. This page walks you from the link to the rig. (Lighting designers: this is the page to send your client.)

1. Open the link

You got it by mail — You are invited to a FlexViz presentation — or the designer sent it to you directly. Both work the same way.

The invitation mail

Please do not forward it. Anyone else who uses the link has to confirm their own address, and the designer sees them as not invited.

2. Tell us who you are

Enter your name and your email address, and press Send me a link.

Join the session

3. Confirm your address

FlexViz sends you a mail, Confirm your address to join a FlexViz presentation. Open it and press Continue to the presentation.

The confirmation mail

The designer sees the address you confirmed before letting you in. That is the point of this step: nobody can join as you without your mailbox.

4. Come in — or wait to be let in

The link in the mail brings you back to the presentation. Press Ask to join:

  • If the designer invited your address and lets invited guests in automatically, you are straight in.

  • Otherwise you wait. The designer has been told you are here; the page opens by itself once they let you in. Keep the tab open.

5. Look around

The viewer, with the designer presenting

The line at the top tells you what you are looking at:

  • Live DMX — the designer's lighting console is driving the rig right now.

  • Preview levels — the levels saved with the scene. No console is live.

  • Live DMX stopped · preview levels — the console stopped sending; the rig dropped back to the saved levels. Nothing is broken.

  • Released version · … — you are looking at a version the designer signed off, by name, not their work in progress.

  • Host online or Presenter away — whether the designer is presenting at the moment.

On your own: the released version

The controls underneath are yours, and nothing you do changes the design or what anybody else sees:

Live or Plan, Follow host, views and looks
  • Live or Plan. Live is the rig in 3D, with its light. Plan is the rig as a drawing, from one side. Your choice sticks until you change it.

  • Follow host puts you back on the designer's camera. As soon as you move the view yourself, you stop following.

  • Move around. In Live, drag to look around and scroll to zoom; in Plan, drag to move. Viewpoint… jumps to a standard view — in Plan, which side the drawing is seen from.

  • Views… lists views the designer prepared for you.

  • The lighting menu lists the designer's saved looks. Picking one previews it on your screen only; Host lighting returns to what the designer is showing.

  • Fullscreen is the button in the corner. The status line stays visible.

6. Comments

If the designer asked for your comments, there is a Comments button at the top. Press Add a comment, then click the light, truss or spot you mean — or choose It is about the whole scene — and write what you would like changed.

Comments and pins
  • Private (the default): only you and the design team read it.

  • Public: everyone shown this scene can read it and its replies.

You also see the threads the team made public, with their answers. Other guests appear only as Guest. Filter the list with All, Public and Mine. Clicking a thread takes you to where it was written from. The speech-bubble button hides the pins on your screen.

7. When it ends

The session has ended
  • The session has ended — the designer finished the session or removed you. Ask them if you need to come back in.

  • This link is no longer active — the link expired or was revoked. Ask for a new one.

  • The room is full — everyone the session can hold is already watching. Try again in a moment; the designer can also make room.

  • Not admitted — the designer did not let you in this time.

  • This confirmation link no longer works — confirmation links work once and only for a few minutes. Press Send me a new link.
