Work together

Inviting colleagues

Colleagues join your organisation by email invitation. Somebody without a FlexViz account only types their name to join; no password is asked for.

Administrators invite from File › Profile… › Members › Invite a colleague: an email address, a role, and optionally a craft.

One invitation is waiting; Resend issues a new link
  • Role decides what they may do in the organisation. See Collab seats and roles.

  • Craft (LD, operator, rigger …) sets which view they get by default. It grants nothing, and the field says so.

  • Inviting never waits for a seat. When every collab seat is taken, the new member joins view-only and can be given a seat later. When a seat is free, they take it on joining.

What the invited person sees

The invitation mail

The mail names the organisation and the role and has one button, Accept the invitation. The link works for 14 days.

Somebody without a FlexViz account only types their name. There is no password to choose: the link arriving in their inbox already proves the address. Next time they sign in with a link sent to the same address (see Signing in with a link), and they can set a password on their profile whenever they like. People expect a password here, so it is worth telling them it is deliberate.

Joining without an account: a name, nothing else

Somebody who already has an account signs in and accepts; the organisation is added to their account. Opening an invitation while signed in as somebody else does nothing: FlexViz says which address it was sent to, rather than attaching the seat to the wrong account.

One person, one use

An invitation is for one person and works once. Forwarding it is not a use case: whoever opens it joins, and a member of the organisation sees every project in it.

Resend issues a new link and stops the old one working. The original link is never stored, only its fingerprint, so there is nothing to send again. That is deliberate: a link that went astray should not stay live. Revoke withdraws an invitation.

Removing and reactivating

Members, seats and a removed member

Removing a member deactivates them; it does not delete anybody. Their FlexViz account stays (they may belong to other organisations), and they appear under Removed members. Reactivate brings them back in the role they had, with a collab seat if one is free. Inviting a removed member again reactivates them too.

Removal takes effect at once. Their next save is refused, a console they had paired to one of your scenes is disconnected, and a client presentation they were watching moves on without them. A removed member keeps no project access at all, not even on a project where they had access of their own.

Revisions they made keep their name.
